Pre Tenancy/Property Management Vacancy

JT Clarke London is now looking for an efficient and proactive Property Management Administrator to join our dynamic team, assisting the department with the expansion of our property management portfolio.

Experience is preferred but not essential as the successful candidate will receive FULL comprehensive training including ARLA training and qualifications, leading to excellent career options and development within the company.

The individual will professionally manage the daily administration of the department while delivering first class customer service to both internal and external clients in a fast paced environment.

The key responsibilities include:

  • Ensuring there is a smooth running of all managed properties by accomplishing all administrative duties that include property maintenance, completing post distribution and invoice logging alongside competently handling client calls in a positive, friendly and professional manner and recording and sending tenant/landlord documentation.
  • Overseeing inventories, check-outs and related documents to ensure all are completed to a high standard promptly, keeping inventory clerks, landlords and tenants updated.
  • To liaise with staff and clients ensuring all telephone messages and emails are dealt with in a professional and timely manner and keeping internal databases and records up to date.
  • Carrying out reference checks, finalising tenancy agreements including deposit reconciliation.
  • Accomplishing financial objectives by collecting rents, paying bills, forecasting requirements, preparing an annual budget, scheduling expenditures, analyzing variances and initiating corrective action.
  • Maintaining managed properties by investigating and resolving tenant complaints, enforcing rules of occupancy, inspecting vacant units and completing repairs and planning renovations.
